As part of the onboarding process for Blue Eagle Consulting (BEC) you are required to complete the following information. Note: All time associated with Blue Eagle onboarding activities, including documentation completion, CBIZ setup, and required system or time‑entry processes, is administrative in nature and therefore non‑billable.

• Online Background Check
  • You will receive an email for authorization from Checkr
• CBIZ setup (CentrallyHR). You will be sent an invite including your login credentials. Please make sure to check “Announcements” upon login and follow all steps within the CBIZ checklist assigned.
  • Complete Federal W-9
    • Or I-9 to include supporting documentation if applicable
  • Direct Deposit Information, upload a copy of voided check

Once the onboarding process is complete, returned and verified, you will receive your engagement agreements via DocuSign for electronic review and signature.

• Agreement for Contract Services (Master Agreement)
• Statement of Work (SOW) specific to your work engagement

You will receive an email invitation from CBIZ (CentrallyHR) as part of onboarding. This is also where you will track your time. Note: All time associated with Blue Eagle onboarding activities, including documentation completion, CBIZ setup, and required system or time entry processes, is administrative in nature and therefore non billable.

• You are required to enter your hours worked into CBIZ daily.
• All time entries shall include a summary notation of work performed by CONTRACTOR via the timesheet notes feature by respective date for hours reported.
• All hours entered should be saved daily and submitted on the last day of the timesheet period.
• Following submission, the invoice generator tool should be used within CBIZ and the invoice produced should be sent via email for processing.
• Time will be approved once time is submitted and invoice is received.

Vacation Notification:  You shall provide the client with a minimum of ten (10) days advanced notice of any planned or requested intention to take off two (2) or more consecutive workdays (i.e., vacation and/or unavailable for work). Once CLIENT approval is received, you must enter the dates in CBIZ on the Consultant Time-Off Calendar. The guide is accessible on your CBIZ dashboard as well as here. 

You will be required to provide two invoices per month for semi-monthly payroll processing.

• In order to be included in the payroll cycle, the timesheet process must be completed. This means:
  • Your timesheet has all appropriate columns filled out completely and correctly (including timesheet entry notes for every time entry)
  • Your timesheet is submitted in CBIZ for approval
• Time entered must be submitted and invoice must be generated no later than the 20^th and 5^th of each month.
• • • Pay period 1 will run from the 1^st through the 15^th with your invoice due no later than the 20th. Payment for this period will be disbursed on the 25^th.
    • Pay period 2 will run from the 16^th through end of month with your invoice due no later than the 5^th of the following month. Payment for this period will be disbursed on the 10^th.
• CONTRACTOR will generate this invoice from CentrallyHR (CBIZ) and review. CLICK HERE to watch how to generate your invoice from CBIZ (Centrally HR). You generate and email your timesheet invoice to documents@blueeagle-consulting.com.
  • • The invoice will include the number of hours worked by day and summary total hours worked/billable for the week and should be sent to documents@blueeagle-consulting.com. Please do not CC or BCC any additional email addresses. This should be completed by the 5th and 20th of each month.
    • If the ACH draft falls on a Saturday we will process for payment on Friday; if it falls on Sunday, we will process payment for Monday. Please be aware that your bank may hold these funds for up to 3 business days
      • Please note that any delay in the receipt or rejection of your time sheet or invoice requiring correction may result in the delay of your payment

If you will be traveling for your engagement, an expense report platform will be added to your profile in CBIZ. A tutorial will be sent to you to guide you in the process of submitting an expense report for reimbursement.

Expense reports are requested to be submitted on a weekly basis, Sunday – Saturday of any given week.   It should include all of your travel related expenses along with applicable receipts (we request that all receipts be in pdf format).

Some of our clients allow a daily per diem in lieu of individual meals/related receipts.  No receipts are required for per diems.

Other helpful tips:

• Obtain your hotel stay folio upon checkout and enter as one line item on the expense report with folio as receipt support,
• Per diems should be entered on a daily basis.
• Refuel rental cars before returning them. The refueling cost is significantly higher if you do not return the vehicle full.
• Approved expense reports are typically reimbursed with your next payroll check.

You will be expected to provide a summary of the work completed at the CUSTOMER site after the assignment has ended.  The summary will be submitted to BEC within a week of the assignment end date.
